Company & Tour Group Information

We look forward to welcoming you to the 2022 MDRT Annual Meeting in historic Boston, Massachusetts, USA. If you are traveling to the Annual Meeting as a company or tour group, the following information is provided to ensure that your Annual Meeting experience is meaningful, enjoyable and stress-free.
Annual Meeting Registration
The Annual Meeting is open to 2022 MDRT members only. To attend the Annual Meeting events, sessions and activities, all members must register.
Upon arrival at the Annual Meeting, registered members will receive an official Annual Meeting badge. Your official Annual Meeting badge must be worn at all times. It will enable you to access all events, sessions and activities without interruption.
Sharing or swapping your official Annual Meeting badge with another individual is strictly prohibited. Members found sharing or swapping their official Annual Meeting badge will have their badge confiscated, and they will be expelled from the Annual Meeting. The individual and the incident will also be reported to the MDRT Bylaws and Ethics Committee for further action, possibly resulting in revocation of membership.
Official MDRT Hotels
The are conveniently located within walking distance of the Boston Convention & Exhibition Center (BCEC) in the . The Seaport District is the fastest growing and newest neighborhood in Boston and is part of the Port of Boston on Boston Harbor. It features exciting dining and entertainment options, and its unique location eliminates the need for private transportation or bussing between official MDRT hotels and the BCEC.
We encourage you to maximize your Annual Meeting experience by staying at an official MDRT hotel. Make your housing reservation at the same time you register for the Annual Meeting to ensure you receive the special MDRT rate (based on availability).
Group Hotel Reservations
MDRT recognizes that some members travel to the Annual Meeting in groups and require multiple guest rooms. To request multiple guest rooms at an official MDRT hotel, contact the hotel directly. All contracting for multiple guest rooms will be handled between the group and the hotel. Special MDRT rates are not guaranteed.

Requests for Meeting Space
If you are seeking meeting space at an official MDRT hotel, contact the hotel directly. All contracting for meeting space will be handled between the group and the hotel.

Health and Safety
MDRT considers the safety of our members our top priority and will continue to follow guidance from the World Health Organization (WHO), the Centers for Disease Control and Prevention (CDC) and the city of Boston to host an in-person event that is safe for all in attendance. Therefore, adherence to health and safety policies and protocols will be mandatory. For more information, visit the section.
Transportation
  • The safety and security of MDRT Annual Meeting attendees is a top priority. Therefore, access to the Boston Convention and Exhibition Center is limited to official MDRT Annual Meeting busses and vehicles with approved access.
  • If you are organizing transportation for your company, please be advised that no motorcoaches and busses will be allowed to drop off or pick up passengers at the Boston Convention and Exhibition Center without a permit. To request a permit, please , fill out the permit request form and submit to the email address listed.
  • Parking a commercial vehicle at the Boston Convention and Exhibition Center is prohibited.
Motor coaches and busses will not be allowed to drop off or pick up at the Boston Convention & Exhibition Center (BCEC) without a permit. There is no charge for this permit. However, all requests for boarding space are on a first-come, first-served basis. This permit request form must be completed for your group to be assigned a time slot, boarding location and vehicle permit. All permit request forms must be submitted by May 2, 2022.
Outside Food and Beverage Prohibited
Food and beverage items brought in from outside the Boston Convention & Exhibition Center (BCEC) or official MDRT hotels are strictly prohibited, per their policy. No one, including companies and tour groups, is allowed to bring outside food and beverage items into the BCEC or official MDRT hotels. There are many dining options located within the Seaport District and within walking distance of the convention center and hotels.
Unattended Personal Items and Luggage
For the safety of all attendees, security will confiscate and remove any personal items left unattended. Luggage will not be allowed inside MDRT session rooms or meeting space. There is no luggage storage facility inside the Boston Convention & Exhibition Center. Attendees should store their luggage in their hotel rooms or with the hotel bell stand, if necessary, on the day of departure.
MDRT PGA Volunteers
Assistance during the Annual Meeting is provided by MDRT PGA volunteers who are easily identified and distinguished by their hats. Therefore, to avoid confusion, we request that groups refrain from wearing hats to any official MDRT events, sessions or activities.
